Condo web site now essential

 

This being the information age, every substantial condominium corporation should have a web site to inform and serve its home owners. As well as keeping owners informed, a web site can provide access to documents that otherwise must be photocopied by Directors or be bought from the property management company, sometimes with delay and at considerable expense. Easy and affordable access to required documents can speed sales and even enhance market values of homes in the development.

 

While precious few such web sites currently exist, here in Calgary there are a few that can be referred to and be emulated. At my own home building, the Darlington Arms Condos (40 suites) at 317 on 14th Avenue SW here in Calgary, we've created a comprehensive site that aims to post ALL our condominium documents. From the Condo Plan and the Bylaws right down to all Board minutes and the most recent in-house newsletter and a photo tour of the building, it's all there; likely the most comprehensive such site in Canada. A more streamlined approach has been taken by a few others, such as the Mayland Terrace Condos at 30 McHugh Court NE in Calgary (16th Avenue and Barlow Trail, south-west corner; 177 suites). Their site provides information for owners without PDF document files, but rather posts the documents order form.
This requires a lot less updating, of course, and thus is easier to administer and cheaper to run. Take a look: www.MaylandTerrace.com. Another and similar example is www.CanyonCreekHeights.com, a townhouse development at 13104 Elbow Drive SW on the edge of Fish Creek Park.

 

Your property management firm may not be supportive of a web site that posts all of your development's documents. Because condominium management is a competitive industry, fees are kept low, leading to firms generating revenue from the copying of documents for owners who need sets for prospective buyers of their condo homes. These documents are not really the management firms' property to sell, of course. They belong to the corporation. Yet if selling owners haven't kept minutes and Bylaws, and if Board volunteers are unwilling to stand at the photocopier (why should they?), it's left to the management firm to provide them; at a price. The obvious alternative these days is to create a condo corporation web site, and to post them all there, which today most teenagers are capable of doing.

 

Consider all the resources that can be provided at the click of a mouse, and see my own building's site for an example. Post a photo tour and a building summary statement, the Condominium Plan, house rules and the Bylaws, current list of Directors, newsletters, current-year budget, most recent audited financial statement, Board minutes, annual general meeting minutes, list of approved contractors and archives of everything. Imagine sellers and buyers not needing to go to the Land Titles office for plans and Bylaws, and not having to pay $200 or $300 after a week's delay to get all this from the property manager. Imagine the confidence this level of service will instill in prospective buyers of your condominium home.

 

Many condo buildings will have someone living on site who can be contracted to create your web site, but pre-packaged services are available in Calgary, such as through www.Condo-X.ca. This firm created my building's site, and can create yours for $600 the first year and $400 per year thereafter. The package includes web site hosting and on-going updates, so all you have to do is e-mail in your minutes, newsletters and other documents, and the service will do the rest.

 

The day may come when an innovative Calgary management firm will offer a package of management services for condo buildings that includes creating and operating web sites. But don't wait for that. Hire a web developer and start posting your building's information, photos and documents. If you do, I'll provide a link to your web site from my own web site's directory of Calgary condominiums. In the information age, condo owners deserve this level of in-house information service.
